Automation & AI

Business process automation

If your team moves the same data between the same programs every day, that work can almost always be automated. We analyse the process, automate the steps that are reliable to automate and keep people where judgement is needed.

What is process automation?

It's using software to carry out the repeatable steps of a process, like entering orders, issuing invoices, sending notifications or syncing data between systems, without manual work. Good automation also handles exceptions: it knows when to stop and ask a person.

A typical flow, from order to invoice
  1. The order arrives by email

The message and attachment are read.

  2. Automatic validation

    Prices, stock and customer terms.

  3. Exception queuePerson

Anything that doesn't add up goes to a person.

  4. Order in the ERP and invoice

    And the customer is notified.

Processes we automate

  • Order to invoice

Orders arriving by email, portal or online shop, validated, entered into the ERP and invoiced.

  • Syncing systems

CRM, ERP, shop and accounting holding the same data, typed in only once.

  • Reports

Weekly and monthly reports prepared automatically from each system's data.

  • Approvals

Purchases, expenses or quotes reaching the right person with all the context.

  • Document handling

Incoming documents read, classified and filed, with AI when formats vary.

  • Notifications and follow-ups

Reminders, status changes and escalations that go out when something happens, even if nobody remembers.

Good candidates for automation

  • The process repeats often and follows fairly stable rules
  • Mistakes are expensive or found late
  • The data already exists in digital form somewhere
  • The same information is typed into more than one system
  • The process changes every month: stabilise it first
  • It happens twice a year: automation won't pay back

How we automate

  1. Map

We walk through the process with the people who do it. We time every step and note every exception.

  2. Prioritise

We rank steps by time saved, error risk and ease. We start with the best ratio.

  3. Build

Connectors, rules and a control view showing what the automation did and why.

  4. Run in parallel, then switch

For a while the old and new processes run side by side, and once the results match we switch.

Configure or code?

Not every automation needs custom code. We use workflow platforms when they're enough and write code when reliability, volume or logic require it.

Frequently asked questions

How do I know which processes to automate first?

Look for frequent tasks with stable rules that involve copying data between systems. We run a short analysis that measures each step and ranks candidates by effort and return.

Will automation replace my team?

Usually it removes the repetitive part. People move on to handling exceptions, customers and decisions.

What if our programs don't have an API?

There are almost always options: database access, file exports, reading emails or, as a last resort, controlled screen automation. We assess how reliable each one is before recommending it.

What's holding you back?

A process, a product idea, a device, a set of systems that should talk to each other. A few lines are enough to get started.
